Microsoft Applications Setup Guide

Comprehensive Installation & Configuration Procedures

📋 IMPORTANT NOTICE: Before beginning installation, ensure you have:

1. MICROSOFT TEAMS SETUP PROCEDURES

1.1 Desktop Installation (Windows/macOS)

Step 1: Download Microsoft Teams
  1. Open your web browser (Chrome, Edge, Firefox, Safari)
  2. Navigate to: https://www.microsoft.com/en-us/microsoft-teams/download-app
  3. Click the "Download for desktop" button
  4. Select the version for your operating system:
    • Windows: Download the .exe file
    • macOS: Download the .pkg file

Step 2: Install the Application
  1. Locate the downloaded file in your "Downloads" folder
  2. Windows: Double-click the .exe file and follow the installation wizard
  3. macOS: Double-click the .pkg file and follow the installation prompts
  4. Accept the license terms when prompted
  5. Choose installation location (default recommended)
Step 3: Sign In & Configure
  1. Launch Microsoft Teams from your Start Menu or Applications folder
  2. Enter your company email address: [YourEmail@company.com]
  3. Click "Next"
  4. Enter your password when prompted
  5. Complete Multi-Factor Authentication (see Section 3 below)
  6. Configure audio/video settings during first-time setup
  7. Set notification preferences

1.2 Mobile Installation (iOS/Android)

Step 1: Download from App Store
  1. Unlock your mobile device
  2. Open the App Store (iOS) or Google Play Store (Android)
  3. Search for: "Microsoft Teams"
  4. Tap "Install" or "Get"
  5. Wait for download and installation to complete

Step 2: Setup & Permissions
  1. Open the Microsoft Teams app
  2. Tap "Sign In"
  3. Enter your company email address and password
  4. Complete MFA verification
  5. Allow required permissions:
    • Notifications (for messages and alerts)
    • Microphone (for meetings)
    • Camera (for video calls)
    • Contacts (optional, for finding colleagues)

2. MICROSOFT OUTLOOK SETUP PROCEDURES

2.1 Desktop Installation (Windows/macOS)

Step 1: Access Office Portal
  1. Open web browser and go to: https://www.office.com
  2. Sign in with your company credentials
  3. Click on your profile icon (top right)
  4. Select "My Account"

Step 2: Install Office Suite
  1. Click on "Install Office"
  2. Select "Office 365 apps"
  3. Run the downloaded installer
  4. Follow the installation wizard
    • Accept license agreement
    • Choose installation type (recommend "Default")
    • Wait for installation to complete (15-30 minutes)
Step 3: Configure Outlook
  1. Open Microsoft Outlook from Start Menu/Applications
  2. For first-time setup, click "Next"
  3. Select "Yes" to set up Outlook account
  4. Enter your name, email address, and password
  5. Click "Finish" - Outlook will auto-configure
  6. Set up signature: File → Options → Mail → Signatures

2.2 Mobile Installation (iOS/Android)

Step 1: Download Outlook App
  1. Open App Store (iOS) or Play Store (Android)
  2. Search for: "Microsoft Outlook"
  3. Tap "Install"
  4. Wait for download to complete

Step 2: Add Email Account
  1. Open Outlook app
  2. Tap "Get Started"
  3. Enter your company email address
  4. Tap "Continue"
  5. Enter your password
  6. Complete MFA verification if prompted
  7. Allow necessary permissions

3. MICROSOFT AUTHENTICATOR SETUP

🔐 SECURITY REQUIREMENT: Multi-Factor Authentication (MFA) is mandatory for all company accounts. Microsoft Authenticator is our approved MFA method.
Step 1: Install Authenticator App
  1. On your smartphone, open app store
  2. Search for: "Microsoft Authenticator"
  3. Download and install the app
  4. Open the Authenticator app after installation

Step 2: Add Work Account
  1. Tap the "+" (plus) icon
  2. Select "Work or school account"
  3. Choose setup method:
    • Option A: Scan QR code (from computer)
    • Option B: Enter code manually
  4. Follow on-screen instructions
  5. Test by approving a sign-in notification
⚠️ CRITICAL BACKUP STEPS:
  1. In Authenticator app, go to Settings
  2. Tap "Backup"
  3. Enable "Cloud Backup"
  4. Save your recovery codes in a secure location
  5. Print recovery codes or store in password manager

4. PASSWORD RESET PROCEDURE

4.1 Reset Password on www.wbtsok.com

Step 1: Access Password Reset Portal
  1. Open any web browser
  2. Go to: https://www.wbtsok.com
  3. Click "Forgot Password?" link

Step 2: Verify Identity
  1. Enter your username or company email
  2. Select verification method:
    • ✅ Email verification code
    • ✅ Microsoft Authenticator approval
    • ✅ Security questions
  3. Complete the selected verification
Step 3: Create New Password
  1. Enter a strong new password meeting requirements:
    • Minimum 12 characters
    • Uppercase and lowercase letters
    • At least one number (0-9)
    • At least one special character (!@#$%)
    • Cannot be previous 5 passwords
  2. Confirm new password
  3. Click "Reset Password"
✅ PASSWORD RESET SUCCESSFUL:
  • You will see confirmation message
  • Wait 5-10 minutes for sync across all systems
  • Microsoft Authenticator will continue working
  • Update password in mobile email apps if needed

5. TROUBLESHOOTING GUIDE

Common Installation Issues

Problem: "Installation Failed" or "Cannot Install"

Solution:

  1. Check available disk space (minimum 4GB free)
  2. Disable antivirus temporarily during installation
  3. Run installer as Administrator (right-click → Run as Administrator)
  4. Download installer again (corrupted download)

Problem: "Cannot Sign In" or "Invalid Credentials"

Solution:

  1. Verify correct email address format
  2. Reset password at www.wbtsok.com
  3. Clear browser cache and cookies
  4. Try private/incognito browser mode

Problem: Microsoft Authenticator Not Working

Solution:

  1. Ensure device time is set to automatic
  2. Check internet connection on phone
  3. Re-add account in Authenticator app
  4. Use backup recovery codes
